Superload Permit Procedures, Time Frames, Cancellation Fees & Re‑Routing Charges

Applies To: All superload permit applications, engineering reviews, route surveys, escort scheduling, and movement coordination.

1. Definition of a Superload
A load is classified as a superload when it exceeds standard oversize/overweight limits and requires additional engineering review, route analysis, or multi‑agency coordination. Any load meeting state‑defined superload thresholds must follow this policy.

2. Required Advance Notice
To ensure safe routing and timely approvals, superload permit requests must be submitted according to the following minimum time frames:

Standard Superload: 10–15 business days before movement

Complex Superload: 15–30 business days before movement

Extreme Superload: 30–60 business days before movement

Time frames begin only after all required documentation is received.

3. Documentation Requirements
Permit processing will not begin until all required documents are submitted, including:

Completed permit application

Accurate axle weights and spacings

Trailer/vehicle configuration

Load dimensions (L × W × H)

Proposed route or origin/destination

Route survey (if required)

Any additional engineering or utility information requested

Incomplete information will delay processing.

4. Engineering & Route Review Time Frames
Depending on load characteristics, additional review time may be required:

Route Survey Review: 3–7 business days

Bridge/Structure Analysis: 5–20 business days

Utility or Railroad Coordination: 10–30 business days

Local Jurisdiction Approvals: 5–15 business days (varies by agency)

These reviews may run concurrently but can extend based on agency workload.

5. Permit Issuance
A permit will be issued only after:

All engineering reviews are complete

All agencies approve the route

All fees are paid

Permit issuance may take 24–48 hours after final approval.

6. Movement Window
Superload permits include:

Specific travel dates and times

Weather restrictions

Escort requirements

Speed and lane‑use limitations

Failure to move within the permitted window may require a new permit or re‑approval, which may incur additional charges.

7. Cancellation Policy & Fees
7.1 Cancellation Before Processing Begins
If a cancellation request is received before permit processing has started:

No cancellation fee applies.

7.2 Cancellation After Processing Has Begun
If processing has started, the following fees apply:

10. Expedited Requests

11. Compliance Responsibility
The carrier is responsible for:

Providing accurate information

Complying with all permit conditions

Maintaining communication regarding delays or changes

Ensuring escorts and equipment meet state requirements

Non‑compliance may result in fines, permit revocation, or delays.
